How do I manage user seats and licenses in the application?

Managing user seats in your application involves adding new users, removing existing ones, and understanding how licensing works. Here's everything you need to know about seat management.

Understanding User Licensing

Each user in your application requires a seat license, regardless of their role. Both Admin and Rep users cost $100 per month per seat. This uniform pricing applies to all user types.

Adding New Users

To add a new user to your application:

  1. Navigate to Settings → Users

  2. Click the option to invite a new user

  3. Enter the user's information and assign their role

  4. Send the invitation

Reassigning User Licenses

If you need to give access to a new user but have reached your seat limit, you can reassign an unused license:

  1. Remove the user who no longer needs access

  2. Invite the new user to take their place

This process allows you to maintain the same number of active seats while changing who has access to the application.

Removing Users

You can remove users directly from the application through the Settings → Users page. This is particularly useful in scenarios where:

  • The user should remain active in your CRM (like HubSpot) but no longer needs application access

  • You want to free up a seat license for reassignment

  • The user has left your organization

Important Notes

  • Removing a user from the application doesn't affect their status in integrated systems like HubSpot

  • Each seat change will be reflected in your monthly billing

  • User removal is immediate and will revoke their access to the application
