When will my mailboxes be warmed and ready to use?

Context

When you purchase new mailboxes in Unify, they need to go through a warming process before they can be used for sending emails. During this time, customers often want to know when their mailboxes will be ready and available for use in their email campaigns.

Answer

Mailboxes take 3 weeks to warm up from their initial creation date. Your mailboxes will be connected in Unify prior to the date they are fully warmed.

Here's what you need to know about the warming process:

  1. Timing: The warming process takes exactly 3 weeks from the creation date

  2. Visibility: Some mailboxes may show as "warming" in the UI while others may not display this status, depending on which warming provider is used

  3. Availability: All mailboxes in your account are ready to use once the warming period is complete, regardless of whether they show a "warmed" status in the UI

  4. Early use: In some cases, mailboxes can be used before the full 3-week period with reduced sending capacity, but this requires special approval from the team

UI Status Clarification

You may notice that some mailboxes show a "Warmed" status while others don't. This is a UI limitation - Unify uses different warming providers, and some don't trigger the "warmed" icon in the platform. All mailboxes are functional and ready to use once the 3-week warming period is complete, regardless of the status shown.

Your PGS team will provide you with specific completion dates for your mailboxes. If you need an update on your warming timeline, reach out to your assigned representative who can check with the mailbox operations team for the exact ready date.
